How to Prepare Your Business for a Virtual Tour Shoot

Nothing exotic. The same things you'd tidy before a customer walked in.

Preparing for a virtual tour shoot isn't a special exercise, it's the same standard you'd hold your space to before a customer walked in, just applied a little more deliberately because the result stays live for years, not just for the afternoon.

Here's the actual checklist, in the order it matters.

  • Clear surfaces and walkways, the tour will show every angle a customer normally wouldn't linger on
  • Check signage, price lists and anything text-based are current
  • Turn all the lights on, including ones normally left off
  • Tell staff the day before, so nobody's caught off guard mid-shoot
  • Fix the small things you've been meaning to: a loose cable, a scuffed wall, a dead plant

The physical space

A 360 scene captures everything in the room, not just the angle a normal photo would frame, so clutter that's invisible in daily life becomes obvious in a tour. Clear surfaces, tidy cables, straighten stock or furniture, and deal with anything you'd be embarrassed for a customer to notice if they stood still and looked around properly, because that's exactly what a tour lets them do.

Lighting matters more than people expect. Turn on every light, including ones you don't normally bother with during the day, a scene that looks fine to the eye can read unevenly lit in a photograph.

Signage, pricing and anything written down

A virtual tour stays live for as long as you keep it, so anything text-based in shot, price lists, opening hours signs, promotional posters, should be current on the day, not something you're planning to update next month. If a poster's for an offer that's about to end, take it down before the shoot.

Staff and customers

Let your team know a shoot's happening and roughly when, so nobody's surprised mid-task. Beyond that, there's genuinely little to do: shoots are planned around your trading hours, and customers or staff quietly going about their day in a scene reads as an active, real business, not a problem to avoid.

Questions people ask

Should we close for the shoot?

No, and we'd actively discourage it. Shoots are planned around your opening hours specifically so you don't have to.

What if we can't fix everything on the list in time?

Prioritise what's actually visible and permanent, clutter, lighting, current signage, over anything minor. A shoot doesn't need a perfect space, just a genuinely representative one.

Does the weather matter for an interior shoot?

Not much for interiors, though natural light through windows can shift the mood of a scene. If exterior or drone photography is part of your booking, we'll check the forecast and plan around it separately.

I used Biztour to get virtual tours done of all our coworking spaces and I am so pleased with how they turned out! They were super communicative, and really flexible to help us hit our deadlines.
